Job Posting: Administrative Assistant, Golden LEAF Foundation

The Golden LEAF (Long-term Economic Advancement Foundation) Foundation is a public charitable foundation established in 1999 to receive and distribute a portion of the proceeds North Carolina receives resulting from the settlement of litigation involving the manufacture of tobacco products. The mission of Golden LEAF is to improve the social and economic conditions of North Carolina’s people. Golden LEAF will award approximately $45 million in grants this year to governmental agencies and 501(c)(3) non-profit organizations throughout the state.

THE ADMINISTRATIVE ASSISTANT POSITION
The primary responsibilities of the Administrative Assistant are to perform a variety of clerical duties for Foundation Executive, Programs and Investment staff as directed by the Director of Administrative Services.

ESSENTIAL FUNCTIONS

  • Handle general administrative duties including: filing, copying, faxing, preparing mailings and correspondence, answering phones and routing calls to appropriate personnel; assisting visitors; sorting and distributing mail; arranging conference calls; maintaining spreadsheets; preparing purchase orders; entering weekly timesheets; scheduling meetings and appointments for staff; and, performing other related duties as required.
  • Assist the Director of Administrative Services with maintaining personnel files, managing supply inventory, coordinating equipment maintenance, and arranging logistics for board meetings including the preparation of board materials and mailings.
  • Aid the Director of Administrative Services and Controller with preparing invoices, payments and producing reports in QuickBooks.
  • Support Programs staff in managing and implementing grant procedures that include: file preparation and accurate maintenance, data entry and database management, correspondence, press announcements and reporting requirements.
  • Assist Investment staff with maintaining manager files and investment binders, creating and updating a contact manager database, and preparing other investment related documents.
  • Provides assistance to other staff as needed to successfully complete organizational functions as required by the President, including taking minutes at meetings.

QUALIFICATIONS

  • Minimum Education: Associate degree in field preferred, or 3 to 5 years of experience in similar position.

SKILLS

  • Excellent oral and written communication skills
  • Ability to organize detailed information and work independently
  • Ability to manage multiple tasks simultaneously
  • Strong interpersonal and time management skills
  • Excellent computer skills including keyboard skills and proficiencies in the following software: Word, Excel, Power Point, and QuickBooks
  • Knowledge of office administration and bookkeeping procedures
  • Ability to transcribe notes from meetings

COMPENSATION
Salary is competitive and commensurate with background and experience. The Foundation’s benefit package includes coverage for medical, dental, life and disability and company contribution to retirement.
