External Affairs Coordinator

The Golden LEAF Foundation seeks a motivated, detail-oriented, quick learner to join the team at Golden LEAF responsible for external outreach and engagement activities. This is a newly created position to support an increased focus on outreach and engagement work of the Foundation. This position will report directly to the Director of External Affairs.

The successful candidate must exhibit exceptional standards of professionalism in performing duties for Golden LEAF, possess a high level of integrity and honesty, and be committed to quality in all aspects of work. A strong work ethic and high energy level are essential to success.

Primary Functions
Outreach

  • Assists with management of the President’s calendar
  • Serves as liaison to the Foundation, ensures outside inquiries (other than questions regarding programs and potential funding) are appropriately routed and responded to in a timely manner
  • Maintains database of Foundation contacts through the Foundation’s CRM
  • Coordinates with the Administrative Assistant to arrange travel and other logistical needs for the President and other staff as needed.

Engagement

  • Leads work to prepare President and others for external meetings: 
    • Communicates with internal and external personnel to gather information needed to ensure a successful meeting (attendees list, goals of the meeting, any specific topics to be addressed)
    • Compiles required background information to support the purpose of the meeting in coordination with members of the Golden LEAF staff
    • Prepares briefing documents 
  • Assists with development of PowerPoint Presentations and other meeting materials
  • Manages inventory of collateral for external facing work of the Foundation, including the Scholarship Program

Events

  • Supports development and execution of external events, trainings, workshops, and meetings, both in person and virtual along with Golden LEAF staff and external contractors as needed:
    • Develops proposed attendee and registration lists
    • Drafts and sends email invitations for meetings or special events (depending on the event)
    • Answers questions from invitees or attendees about logistics
    • Coordinates with venue or external contractors on logistical needs to ensure the space is equipped for meeting requirements (additional duties, for example managing catering depending on the event)
    • Manages online meeting registration portal and follow up communication

The position description may evolve based on the successful candidate’s specific qualifications and the needs of the Foundation.

Location
This position will be based at the Golden LEAF offices at 301 N. Winstead Avenue in Rocky Mount, NC with travel within the state expected (amount varies, may be once per month). Currently, Golden LEAF staff is required to work from the office Mondays and Thursdays, with the option to work remotely the remainder of the week.

Requirements
A four-year degree is preferred. Must be able to use common software programs including Microsoft Outlook, Word, and Excel. Experience with Airtable and Asana is strongly preferred. Golden LEAF will conduct a criminal background check and may conduct additional background checks and drug tests of applicants as a condition of employment.

Compensation and Benefits
The External Affairs Coordinator position is a full-time, professional position with compensation and benefits commensurate with responsibilities and experience. This position has an anticipated hiring range of $45,000-$55,000, depending on qualifications and experience.
